Finance Manager (F/M)

Reporting to: CFAO
Territory: UAE – GCC

Job Overview

Responsible for the timeliness, accuracy, integrity of the companies’ accounts, monthly closing, and financial reporting to the HQ.

Perimeter includes Holding Company and all the companies incorporated in the GCC.

Main Accountabilities (list is non exhaustive):

MANAGEMENT OF THE ACCOUTING TEAM

Manage the Accounting team (presently 4 Accountants)
Distribute the work between each team member, update job descriptions accordingly
Ensure there is a backup and succession plan for every team member in their main duties
Perform yearly appraisals and define annual objectives
Create KPIs to follow & improve performance
Train & mentor the team as required
Help and support the Management team with the budget and forecast
FINANCIAL STATEMENTS

Preparation and closing monthly Financial Statements, in accordance with IFRS Standards & Group Policy Procedures
Ensure monthly and year-end reconciliations are duly performed and documented
Prepare monthly and year-end financial statements, P&L, Balance sheet and Cash Flow, including consolidation with strict deadlines
Report, analyse and ensure integrity of all financial information
Liaise with external auditors for preparation of annual audited financial statements (both for GCC and HQ group auditors)
TAX RETURN AND SUBMISSION (VAT/ ZAKAT etc.) IN THE GCC

Ensure tax compliances in GCC, supervise VAT, WHT, Corporate tax returns and any other tax compliances, if any
Control VAT entries & ensure proper documentation is stored as per the law
TREASURY & CASH FORECASTING MANAGING

Prepare weekly comprehensive cash forecasts
Weekly Reporting to HQ
Advise CEO/CFO on cash related matters, based on these forecasts
Maintain good relations with banks to access to credit line when required for future investment
A/P and A/R

Follow up with Sales team and with Clients’ Accounting Dept for timely collection of receivables
Ensure that Sales invoices are raised in a timely manner
Responsible for regular suppliers’ reconciliation
Ensure the AR and AP functions are aligned to company procedures and protocol
FINANCIAL POLICIES & INTERNAL CONTROL

Continuously simplify and optimize the company’s financial policies and guidelines, then document them
Monitor internal control procedures correctly applied
Identify and report any internal control weaknesses
Submission of different regulatory compliances (Nationals / Banks etc.)
The Applicant:

Must hold professional accounting qualifications such as ACCA, CIMA, CPA, CA
7 years of experience required, with a minimum of 2 years in a managerial position
Regional experience in the UAE/GCC
Strong Excel skills
Highly organized individual with strong attention to detail
Excellent communication skills

Tent Coordinator

Job Overview

Under the guidance of Head of Rental Department, the Tent Coordinator will act as the link of the client to the Operations team and Rental Account Manager.

Main Accountabilities (list is non exhaustive)

Site Visits

  • Ability to propose technical solutions considering actual site limitations and constraints
  • Ability to guarantee the technical feasibility and safety of the project

Costing

  • Providing site information to account manager, design office and operations team to jointly come up with a technical solution for the preparation and costing of the project.
  • Assisting the account managers in defining project production cost (liaising with all other departments & sub contractors) including contractors or costing directly to client if applicable.
  • Preparing proposals with individual solutions for the External clients or Internal clients.
  • Dealing with client requests in the most efficient and cost-effective way to the advantage of the company.
  • Understanding stock management and stock inventory.

Project Preparation & Follow Up

  • Ensuring proper handover of information to the operations team for preparation – Scope of Work, technical drawings and details, build schedule.
  • Ensuring that the project file (Preparation, Production, Installation and Dismantling) is complete for review by all departments and liaising with the account manager / operations.
  • Preparing the Health and Safety documentations and certificates required (RAMS).
  • Analyzing the project profitability and defining the area of improvement.
  • Creating the build and derig schedule when needed.

Build and Derig

  • Acting as a back up to the Operations Manager to manage projects on site when needed.
  • Ensuring budget is respected on every project.

Knowledge & Experience: 

  • 3-5 years of experience in the events & exhibitions industry
  • 3 years’ experience in tent department as project manager
  • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel) , Sketch up and CAD
  • Significant technical knowledge on tent structures
  • Ability to analyses data and understand connections
  • Negotiation skills
  • Demonstrable ability to lead and manage staff

Account Manager

Job Overview

At Electra, we need talented people that will share our strategy to be the obvious contracting partner for local & international players who wish to set up an event within the GCC.

Under the guidance of the Projects Director, the Account Manager is responsible for developing and maintaining long term relationship with a portfolio of key Accounts, connecting with decision makers and business executives and stakeholders.

Main Accountabilities (list is non exhaustive):

  • Client management and development:
    • Managing and maintaining a portfolio of key Accounts allocated to them.
    • Being the main point of contact for the Accounts allocated to them and build long-term relationship with decision makers.
    • Developing a trusted relationship with clients, acting as an adviser and proposing the best solutions the company has to offer.
    • Organizing regular follow ups with allocated accounts through calls, emails, virtual and physical meetings and commercial visits when needed.
  • Projects costing and offers submission:
    • Taking projects briefs and understanding their client’s requirements and constraints.
    • Evaluating the feasibility of the project in terms of scope, budget, and timeline before proceeding with any proposals.
    • Preparing proposals as per their client’s requests following the company procedures.
    • Quoting the projects in the most autonomous and efficient way using the company costing processes and tools while maximizing the margins and assuring the profitability.
    • Liaising with internal departments at costing stage for support and technical expertise and advise if needed (Designers, Project managers, Operations).
  • Projects execution:
    • Finalizing project details and quotations and signing contracts.
    • Preparing all needed documentation for project handover to project managers including but not limited to Design, samples, Scope of work, Project Milestones etc.
    • Sharing the detailed budget with project managers with all supportive information and documentation.
    • Organizing kickoff meeting, introducing the project manager to the client and supporting her/him whenever needed all along the life of the project.
    • Responsible for invoicing, payment collection and payment follow up.
    • Responsible for keeping current clients satisfied and delivering exceptional client service on a day-to-day basis.
  • Reporting:
    • Defining and developing with the allocated accounts the base of work between the 2 parties including contracts terms, payment plans, Service level agreement etc.
    • Providing management with visibility about own accounts potential projects with forecast of future business opportunities.
    • Keeping the server and the ERP system up to date with the most accurate information about the potential and confirmed projects.
    • Quarterly Monitoring and analyzing customer’s usage of company services.
    • Measuring the accounts performance through periodical reports while keeping in mind excellent client journey.

Technical & Functional Skills: 

  • 5-10 Years’ experience in events exhibitions or any other related field.
  • Good Understanding of methods of fabrication (carpentry, paint…), materials and resources costs
  • Proven account management or other related experience in the field
  • Proven ability to manage multiple requests at a time while paying strict attention to details
  • Client management, commercial and negotiation skills
  • Excellent listening, negotiation and presentation skills
  • Excellent verbal and written communications skills
  • Self-motivated and able to thrive in a results-driven environment
  • Natural relationship builder with integrity, reliability and maturity
